Bookings:
All bookings, except for late bookings as mentioned below, will be considered confirmed upon receipt of a non-refundable deposit, which must be at least 25% of the total land price, along with full payment for the airfare, within 24 hours of booking confirmation with Nova Odyssey. You will receive information about the specific payment required for your travel arrangements at the time of booking. The remaining balance for your travel arrangements must be settled no later than six weeks before the departure date. If your booking is made within 6 weeks of departure, the complete cost of your travel arrangements must be paid at the time of booking.
Price Fluctuations
a) The expenses linked to travel plans are not always steady, and currency rates can vary. It's difficult to anticipate these changes in advance. When you make travel plans through us, we retain the right to transfer any fluctuations and additional fees to you until complete payment is received. Additional fees may be implemented to account for rises in travel costs, such as taxes or charges for services like landing taxes or fees for boarding or disembarking at ports and airports, or currency exchange rates applied to the travel arrangements.
b) There may be additional charges during peak seasons and specific dates may be unavailable.
c) Airfares are subject to the prices and terms provided by the individual airlines and cannot be assured by Nova Odyssey.
Payment Options
a) Credit Cards: You can make payments using Visa or Mastercard through our secure online Virtual Card Services (VCS) payment portals
b) Cash or EFT Transfers: We welcome EFT transfers or cash deposited into our bank accounts, provided that proof of payment or transfer is provided to us and the payment has been confirmed as received by us.
Flight and Other Travel Timings
The timings for flights are supplied by airlines and are dependent on Air Traffic Control restrictions. All modes of transportation are impacted by weather conditions, the necessity for regular maintenance, and passengers' ability to check in on time. There is no assurance that flights, ferries, ships, trains, or coaches will depart at the specified times in any itinerary or tickets you receive. All timings are approximations only, and we do not assume any responsibility for any delays, regardless of the cause, or for any changes to the schedule.
You must make sure to confirm the departure date and times for all your flights at least 72 hours before the scheduled departure. This is especially crucial for any flights you have after leaving South Africa, and Nova Odyssey does not accept liability for any delays or losses if you fail to reconfirm any flight or connecting flight.
Changes made by you
If you want to modify your reservation, we will do our best to help you make the necessary changes.
a) Before your departure, you must cover all fees from suppliers related to changes made to the booked component of your travel arrangements. Fares will be recalculated when changes are made.
b) Upon leaving, it is clarified that additional costs due to any changes will be the responsibility of the passenger, and unused services will not be reimbursed.
c) Changes and deletions during the journey need to be carried out by contacting our representatives directly.
Cancellations/Refunds
If you want to cancel your reservation, you must notify your agent right away, who will then notify us. Kindly be aware that you will be responsible for covering the specified cancellation fees, which may include, but are not restricted to:
a) If your reservation has a discounted rate, the airline will apply the necessary fees. Under certain conditions, the cancellation fee can be the entire fare, regardless of when the cancellation is made.
b) If you book a package, you will need to cover any cancellation fees from the suppliers of the individual parts of the travel arrangements.
c) Nova Odyssey enforces a 10% cancellation fee based on the total package price for all confirmed bookings. This would be on top of any fees imposed by the vendors. Nevertheless, Nova Odyssey has the authority to impose a suitable cancellation fee at its own discretion, under certain conditions. Any funds you have already given to us will be used by us as payment or partial payment towards any cancellation fees.
Travel documents, visas, and health requirements.
The client is fully responsible for ensuring that their passports and visas are up-to-date, obtained in a timely manner, and that any necessary vaccinations and proof of vaccinations, such as for malaria, have been obtained. Passports need to remain valid for at least 6 months upon return to South Africa. Before you travel, ensure to confirm the requirements with your travel agent. Nova Odyssey is not taking on any responsibility or liability, and the client is responsible for indemnifying Nova Odyssey against any repercussions of non-compliance. The client is responsible for understanding the risks and required physical/mental condition for the planned travel. The customer should make sure that the information provided to Nova Odyssey matches the information on their passport for overseas trips and ID documents for domestic trips.
Important information
a) Taxes: Nova Odyssey will inform you about all required taxes that must be paid prior to departure. Nevertheless, numerous countries impose departure taxes that must be paid at the destination. It is therefore advised to keep enough local currency on hand to cover these fees. You can find out information about departure taxes from the appropriate airline when you confirm your flight details again.
b) Special requests can be relayed when booking, however, the airline or supplier has the final say on whether to accept them, and there is no guarantee that they will be accommodated. Confirmation that a particular request has been acknowledged or relayed to the supplier.
c) Health Issues: In case you or any group member has a medical condition impacting your holiday, provide detailed written information at the time of booking. If we do not feel capable of meeting the specific needs of the individual, we have the right to reject their reservation.
d) Hotel renovations are carried out periodically, with efforts made to minimize inconvenience to guests. Complaints and refund requests will not be considered if renovations are being carried out at the hotel during a guest's stay. If we receive specific notice about renovation work, we may be able to give you dates. It is crucial to keep in mind that these can change without prior notice.
e) Privacy: Unless legally required or ordered by a court, Nova Odyssey commits to handling all personal client information in a confidential manner.
